Moving office is daunting. There’s nothing simple about relocating an entire team, no matter how big or small! Mix this in with moving high-valuable electronics and equipment and you’ve just got yourself one stressful time. But fear not, we’re here to help!
 
Organisation and prior planning are key to having the perfect office move. Follow our steps below to stop any hiccups happening along the way and transition smoothly from one office to another.
 
Choosing where to move:

The first obvious step is choosing where you want your office to be. Have you thought about…?
  1. How much money do you want to spend?
  2. Why are you really moving? Do you need a bigger space? A better location? A quicker commute?
  3. Are there good transport links close by?
  4. Is the new office easy for clients to visit?
  5. Will the commute time be cut down for you and your employees?
  6. What amenities are close by?
  7. Are there parking facilities?
If you’ve answered yes to all of the above, it sounds like you’ve found the perfect office at Bracken WSP! It’s time to get down to the nitty gritty and plan the logistics for your office move. This is the ‘not so fun’ bit, but the ‘you will feel amazing’ once it’s done bit.

Plan, plan and oh yeah, plan!

Planning ALWAYS takes longer than you anticipate, but it’s the key step in understanding what your move will entail and highlight the tasks that need to be completed. Once you have a plan in place, the rest should just fall into place, right? Think about…
 
  1. What needs to move and when?
  2. How long will moving take?
  3. What is your move-out/move-in dates?
  4. Will you need storage?

Once you’ve got your plan in place, it’s time to put it in action. We’ve put together ‘The typical timeline to moving day’ to help you with what to expect…
 
12 months – At this stage, you’ll need to think about the bigger picture. These are factors such as why you’re looking to move and what you’re hoping to achieve with the move. It’s also an ideal time to consider what you’re looking for in an office space and doing the necessary research.
 
Six months – By now, you’re likely to have found the space you’re going to be moving into. It’s at this point that you should start thinking about creating your office move team. We suggest picking the most organised people you know.
 
Three months – Once you know who is going to be overseeing the move, the next task is to get quotes from a removals company, or if you can put your equipment in the back of a car, you’ll save yourself £££!
 
One month – With just a month to go to the move, now’s the time to notify any relevant service suppliers and providers, as well as customers/clients, of the upcoming move. Be clear about which services you’ll need going forward, as well as if customers can expect any disruption to your services during the move and what alternative arrangements, if any, are in place.
 
Two weeks – At this stage, distribute a moving day schedule so everyone involved is prepared for moving day. It should include a breakdown of what’s happening and when, as well as how the necessary people can be contacted.
 
One day – Everything should be now ready for the big move! Make one final checklist and go through ticking off everything that you have in your mind. This will help you drift off into a deep sleep and not wake up in the middle of the night shouting BUBBLE WRAP!
 
Moving day – Today’s the day! On moving day, check all your helpers have a copy of the day’s schedule, as well as key contact numbers! You never know who you’ll end up needing to call. Once you’re in pour yourself a big alcoholic beverage and sit back and look at what you’ve achieved. You’ve earned it!
